Please do not send more information than necessary. Information about an animal's health is not itself personal data under the GDPR, but it may be linked to your name, contact details or address and will be handled carefully.
3. Why we use it
| Purpose | Legal basis |
|---|---|
| Reply to enquiries, check availability and prepare a quote | Steps you request before entering a contract |
| Confirm and provide care, communicate with you and keep the pet safe | Performance of the contract and legitimate safety interests |
| Invoicing, accounting and compliance | Legal obligation |
| Review applications and organise recruitment | Pre-contract steps and the legitimate interest in recruiting |
| Protect the site, prevent abuse and troubleshoot faults | Legitimate interest in security and service operation |
| Measure site use and improve pages, navigation and forms through analytics cookies | The operator's stated legitimate interest in analysing and improving the service; analytics storage starts on page load |
Contact and care forms do not rely on consent in order to provide a reply: the basis is taking the steps you requested. Any future marketing communication would require a separate and optional choice.
We do not use solely automated decisions or create profiles for advertising.
4. Who may receive the data
Data is accessed only when needed by Tails & Trails and suppliers that help operate the service.
Some suppliers may process data outside the European Economic Area. Where applicable, processing should rely on a lawful transfer mechanism such as an adequacy decision or standard contractual clauses.
5. How long we keep data
- Enquiries that do not result in an engagement: generally up to 12 months after the last contact.
- Engaged services and customers: for the relationship and afterwards for periods required by tax, accounting, contractual or legal-claims obligations.
- Access instructions: for the shortest period needed for care and related follow-up; access codes that are no longer needed should be deleted.
- Applications: up to 12 months unless you request earlier deletion or agree to a different period.
- Technical logs: for the period set by the hosting provider, limited to what is needed for security and diagnostics.
- Site measurement: up to 14 months for event data where applicable.
- Usage insights: recordings for up to 30 days and click, heatmap or labelled-session data for up to 9 months, according to the provider's retention periods.
Data may be kept longer where a legal duty or pending claim requires it.
6. Your rights
Where applicable, you may request access, correction, deletion, restriction, portability or object to processing. Where processing relies on consent, you may withdraw it without affecting earlier processing.
You may object to restricted analytics through the contact below and can block the relevant requests using your browser's privacy protections.
Email care@tailsandtrails.pt. We may request reasonable information to confirm your identity. You may also complain to Portugal's National Data Protection Commission (CNPD).
7. Security, children and updates
We use reasonable organisational and security measures and restrict access to data. No transmission or system is entirely risk-free, so please do not send permanent passwords, complete bank details or unnecessary information through the forms.
The site and services are intended for adults. We do not knowingly collect data directly from children. We may update this policy when the site, suppliers or requirements change; the date at the top identifies the current version.
